With self-service reporting you can create as many financial reports as you need, whenever you need them, for any period you choose, including future periods. You set the period, choose a configuration and currency, optionally narrow the report to a subset of your data, and generate.
You reach report creation from Financial reporting > Create report in the left-hand menu, or from the Create report button on the Reports list. Report creation is available to company administrators and finance managers when self-service financial reporting is enabled for your company.
Worth knowing: You can run reports for future or not-yet-verified periods, which is useful for forecasting. When a period goes beyond the latest verified date, a warning is shown. For how verification works, see How does the verification banner work.
Before you start
- Self-service financial reporting must be enabled for your company.
- You need access as a company administrator or finance manager.
Open the Create report page
- In the left-hand menu, open Financial reporting and select Create report.
- Alternatively, from the Reports list, click Create report.
Select the reporting period
The reporting period is pre-populated with your most recent period. You can keep it or change it in one of two ways:
- Select a predefined period from the dropdown. This auto-populates the report name and dates.
- Set the dates manually using the OB date (opening balance, the start of the period) and CB date (closing balance, the end of the period).
Turn on Year to date to scope the period from the start of the year through your selected closing date.
Name the report
The Name is pre-populated with the selected reporting period, and you can change it to whatever suits you. This name is shown on the Reports list and is used as part of the file name when you export the report to Excel.
Choose a configuration
A configuration is a predefined setup for your report. It determines:
- Which report types are included (for example IFRS, social security, dilution, deferred tax assets).
- The tables and columns that appear in the report.
- The currency that is pre-selected for the report.
Configurations are set up for you by your Optio contact to match your reporting needs, and you can have as many as you like. If you need a new configuration, or want an existing one adjusted, contact your Client Services representative.
Set the currency conversion
All figures in the report are converted to the currency selected in Currency conversion, from the currency your share price is denominated in. A configuration can pre-select a currency, and you can change it here for an individual report. If currency conversion is not available to you and you would like it, contact your Client Services representative.
Filter to a subset of data (optional)
If you only need part of your data, open the Filters section to narrow the report before you generate it. Filtering happens before the data is calculated, so a targeted report (for example, one employee) returns in a fraction of the time of a full run. All filters are optional and can be combined.
- Open the Filters section.
- Set one or more of the filters below. You can combine them, for example a single employee within a specific subplan.
- Continue to generate the report. Only the matching data is included.

| Instrument type | Scopes the report to one or more instrument types. |
| Settlement type | Scopes the report to one or more settlement types. |
| Performance condition | Scopes the report to awards carrying a particular performance condition. |
| Grant date (from / to) | Scopes the report to awards granted within a date range. |
| Vesting date (from / to) | Scopes the report to awards vesting within a date range. |
A filtered report is clearly marked as showing a subset, so there is never any ambiguity about what it contains. Filters are set when you create the report; to change the scope, generate a new report with the filters you want.
Worth knowing: Filters narrow the data within the access you already have. They can never show you data outside your permitted scope, so a filter can only ever reduce what a report contains, never widen it.
Generate the report
When you are happy with your selections, click Generate report. After a few moments you are taken to your interactive report.
You can safely leave the page while a report generates: it continues in the background, and you can track its status and return to it from the Reports list.

Q: Can a filter show me data I would not otherwise have access to? A: No. Filters work strictly within your existing access scope. They can only narrow what a report contains, never widen it beyond the entities you are permitted to see.
Q: How do I change the filters on a report I have already generated? A: Filters are applied at the point you create a report and cannot be edited afterwards. To change the scope, or to return to the full dataset, generate a new report with the filters you want.
